1.0 At Oasis Community Housing, we’re committed to protecting and respecting your privacy.

At Oasis Community Housing we believe in open, honest and healthy relationships. It is this belief, along with compliance to the law, which shapes the way we communicate with people and manage data.

In a nutshell, we only collect data on you that you give us, and only use it and store it in ways that you have specifically said we can.

This Policy explains when and why we collect personal information about our supporters, how we use it, the conditions under which we may disclose it to others and how we keep it secure.

2.0 Who are we?

We are Oasis Community Housing, a Christian response to homelessness and disadvantage. Oasis Community Housing is the operating name of Oasis Aquila Housing. Oasis Aquila Housing is a registered charity (no. 1107554) and company limited by guarantee (no. 5300083). The registered address is Oasis Community Housing, 11 Walker Terrace, Gateshead, Tyne and Wear, NE8 1EB. Oasis Community Housing is part of the Oasis Family of charities.

3.0 What information do we collect from you?

We hold information that helps us stay connected with our supporters. This data may include; contact details, demographic data, giving history, volunteer history and communication history.

4.0 How do we collect information from you?

4.1 We obtain information about our supporters in a variety of ways:

If you have made a donation or given us some information about yourself

As a charity we are dependent on generous donations and can’t express how grateful we are to the people that give us money. We endeavour to be hugely respectful and careful with any data you give us in this process.

When you donate online, we’ll give you the chance to sign up to hear news about work and fundraising campaigns – but you don’t have to take it. If you don’t sign up to a mailing list we will only contact you around matters relating to your donation, for example to send you a thank you letter.

If you make a donation online through our website or a digital giving platform, your card information and bank details are not held by us. They are collected by our third party payment processors, who specialise in the secure online capture and processing of credit/debit card transactions.

If you sign up to one of our mailing lists, but change your mind and would prefer that we do not contact you, then you can let us know and we will respect your wishes and update your communication preferences to reflect this. 4.2 Collecting additional information

In addition to the information you give us, and only in the case of those who have made significant donations, we may carry out some research to help us gain a better understanding of our major supporters and to enable us to tailor our approaches to you according to your interests as well as the level at which you could potentially support, We will only access information from publicly available sources. These may include data from, for example, reputable newspapers, social media, Charity Commission and other charity registers, company websites professional networking sites. Any information we collect will be proportionate and reasonable s. If you would prefer us not do this then you can let us know and we will respect your wishes.

4.3 Identifying potential new supporters/donors

We sometimes use publicly available information to identify and research new potential supporters and invite them to be involved in supporting our cause through tailored communications which may be of interest to them. This research could include looking at Newspaper articles, social media, company websites and charity websites for example. We only store this data to enable us to decide if making a connection could be of interest to both the individual and ourselves and to track our engagement with our supporters. Once we have made contact we will seek consent to continue that contact and you can ask us to remove any information we may have collected up to that point. If we decide not to contact you we will delete any information we are holding within 3 months.

5.0 What we do with your data

We store and use data from our supporters to help us best manage our relationships with our supporters and to help us fundraise effectively.

We may use your information to:

  process a donation that you have made;

  seek your views or comments on our work;

  send you communications which you have requested and that may be of interest toyou. These may include information about campaigns, appeals, other fundraising

activities, and updates on our projects;

  process a grant or job application.

6.0 How long we will store your data

We will keep your details recorded for 3 years. We have to do this in order to satisfy requirements of HMRC and our auditors. After this time has expired we’ll delete your details unless we have your consent to keep them.

7.0 When I give you my data, who am I actually giving it to?

When you give us your data we will only use it for the purposes you’ve given us consent to use it form. This data will be held by Oasis in the UK which in and of itself is a group of charities:

8.0 Sharing Data and third parties

When you give us your data we will only use it for the purposes you’ve given us consent to use it for. There are a few people that we may HAVE to share your data with. For example, if you’ve given money to us and claimed gift aid (again, thank you) than we have to share that info with HMRC. Similarly, your donation may have been processed through PayPal and we use various other financial management systems where we would enter some of your data. However, we have agreements with all of these agencies and suppliers to ensure that your personal data is protected.

There’s also some third party suppliers we may need to give your personal data to if we’re going to be communicating with you. For example, if we’re going to post you our Christmas newsletter we’ll need to give your name and address to our printers. Again, we have really good agreements in place with third party suppliers to ensure your data is protected.

What we never do however is sell your data or swap it with other charities or organisations.

9.0 How you can access and update your information

You have the right to ask for a copy of the information Oasis Community Housing hold about you.

10.0 Use of ‘cookies’

Like many other websites, the Oasis Community Housing website uses cookies. ‘Cookies’ are small pieces of information sent by an organisation to your computer and stored on your hard drive to allow that website to recognise you when you visit. They collect statistical data about your browsing actions and patterns and do not identify you as an individual. For example, we use cookies to store your country preference. This helps us to improve our website and deliver a better more personalised service.

It is possible to switch off cookies by setting your browser preferences. For example:

(a) in Internet Explorer (version 9) you can block cookies using the cookie handling override settings available by clicking “Tools”, “Internet Options”, “Privacy” and then “Advanced”;

(b) in Firefox (version 16) you can block all cookies by clicking “Tools”, “Options”, “Privacy”, selecting “Use custom settings for history” from the drop-down menu, and unticking “Accept cookies from sites”; and

(c) in Chrome (version 23), you can block all cookies by accessing the “Customise and control” menu, and clicking “Settings”, “Show advanced settings” and “Content settings”, and then selecting “Block sites from setting any data” under the “Cookies” heading.

Blocking all cookies will, however, have a negative impact upon the usability of many websites.

11.0 16 or Under

We are concerned to protect the privacy of children aged 16 or under. If you are aged 16 or under‚ please get your parent/guardian’s permission beforehand whenever you provide us with personal information.
